Configuring Gift Cards

Overview

A Gift Card is a plastic card similar to a credit card that is prefunded with a specific monetary value redeemable for goods or services.  Gift Cards can be issued by performing a sale of the gift card or a return transaction processed by the TallySales Cash Register. 

Gift Cards are often confused with Certificates.  However, gift cards are printed on plastic while certificates are printed on paper.

This Technical Release will explain the steps needed to configure Gift Cards in the TallySales Management System.

 

Configuring the Company

  1. From the Enterprise Tab of TallyExplorer, navigate to the Company Configuration tab.
  2. Select the Uses Preferences button.
  3. Update the Gift Card value to Yes.
  4. Select Save.

    TallyExplorer will need to be closed and reopened prior to the remaining Gift Card settings becoming available.

 

Configuring the Register Profile

  1. From the Enterprise Tab of TallyExplorer, Select the Register Profile Button (The Register Profile window opens).
  2. Expand the tree view and Select the Register Profile to configure.
  3. Select Allow Gift Cards within the Allowance Settings section of the General Tab.
  4. From the Quick Access Toolbar (QAT), Select Save.

Defining Gift Card Management Security Group Rights

  1. From the Human Resources Tab of TallyExplorer, Select Group Rights.
  2. Select the Management Security Group that will be given Gift Card Management security permissions.
  3. Navigate to the Gift Card management section of the Tree.
  4. Edit any Gift Card Management Security Rights.
  5. Once all permissions are set, Select Save.
  6. Select Exit.

Repeat the above process for all desired security groups.

TallyExplorer will need to be closed and reopened prior to the remaining Gift Card settings becoming available.

Configuring a Gift Card

  1. From the Sales/Marketing Tab of TallyExplorer, Select the Gift Card Settings Button (The Gift Card Settings window opens).
  2. From the Quick Access Toolbar (QAT), Select Add Gift Card.
  3. Define the Name of the Gift Card.
  4. Define the Receipt Name.

    The Receipt Name is only used when tendering a Gift Card and will appear on the tendering portion of the sales receipt.

  5. Select a Processor.
  6. Define the Cash Text.
  7. Enter the Sentinel.
  8. Optional: If the Processor is TallySoft, Define the Expiration.
  9. If the Processor is GiveX, Define the GiveX Proprieties and Skip to step 14.

  10. Optional: Select an Expiration period.
  11. Select an Activation/Recharge Receipt Rule.

  13. Check/Uncheck the Balance Summary on Customer Receipt option.
  14. Define the Card Rules.

    Activate on Batch

    Cards can be activated through the Batch Activation process. 

    As of version 5.0.5.17, this feature has not yet been implemented.
    Recharge on SaleAdditional funds can be placed onto the gift card by selling it at the Cash Register.
    Recharge on ReturnAdditional funds can be placed onto the gift card as a result of a return performed at the cash register.
    Close on RedeemThe Gift Card is inactivated when the balance reaches $0.00 which allows the Gift Card to be reused and issued to another customer.
  15. Define the Customer Rules.

  16. From the Quick Access Toolbar (QAT), Select Save.

If the Processor is GiveX or the Card Rules include Activate on Sale or Recharge On Sale, a Gift Card Product must be created.

  1. Select the Product Details tab.

  2. Define a Gift Card product by selecting the Add Product button.

    SettingDescription
    DescriptionThe Product Description used for sales receipts and reporting purposes
    PriceThe Price of the Gift Card.  If $0.00 is used, the cashier will be prompted to enter a price during the activation process.
    VendorThe Vendor associated to the gift card which is used for reporting purposes
    Department/CategoryThe Department and Category associated to the gift card which is used for reporting purposes
    ValueAllows a value to be placed on the card which is different than the price of the Gift card.  For example, selling a Gift Card with a price of $50.00 and a value of 150% would result in a card balance of $75.00.  Likewise, selling Gift Card with a price of $50.00 and a value of $100.00 would result in a card balance of $100.00.
  3. From the Quick Access Toolbar (QAT), Select Save.

 

Multiple products can be defined for a Gift Card allowing the Gift Card to be sold in multiple ways.
